Booking Terms & Conditions

Please read these Booking Terms & Conditions carefully before confirming your booking. They form part of the agreement between you and Into the Okavango.

These Terms apply to bookings accepted from customers in the United States.

Registration as a seller of travel does not constitute approval by the State of California.
In these Terms, “Into the Okavango,” “we,” “us” and “our” mean Into The Okavango. “You,” “your,” “traveler” or “passenger” means the person making the booking and every person included in that booking.

The person making the booking is the Lead Traveler and confirms that they have authority to accept these Terms on behalf of all travelers named in the booking.



2. Your Booking

Your quotation or itinerary is an offer based on the availability, prices and information available at the time it is prepared.

A booking is not confirmed until:

  1. you have accepted the proposed itinerary;

  2. we have received the payment required to confirm the booking; and

  3. we have issued written booking confirmation.


By asking us to confirm a booking and making the required payment, you confirm that you and all travelers included in the booking accept these Terms.

Please check your confirmation, itinerary, traveler names, dates and other documentation carefully when received and notify us promptly of any error.

Your booking confirmation and itinerary will identify the travel arrangements included in your booking, the total price, payments received, any balance due and the date on which that balance must be paid.



3. Prices

Unless otherwise stated, prices are quoted in U.S. dollars.

The price shown in your confirmed quotation represents the price of the travel services specifically identified as included in your itinerary. Optional services, personal expenses, gratuities, visa or passport costs, travel insurance and items identified as payable locally are not included unless expressly stated.

Prices and availability may change before your booking is confirmed.

Once your booking has been confirmed, we will not impose an additional discretionary fee or charge that was not previously disclosed. Changes requested by you, government-imposed charges, optional purchases and changes resulting from a supplier request may result in additional costs, which will be disclosed before we proceed wherever reasonably possible.



4. Deposits, Advance Payments and Final Payment

The deposit required to confirm your booking will be shown in your quotation.

The deposit forms part of the total cost of your trip.

Certain camps, lodges, transportation providers and other suppliers may require us to make full or partial payment well in advance of your travel date. We may therefore require an additional payment before your normal final-balance date.

Any such Advance Payment and its applicable cancellation or refund conditions will be disclosed to you before we request payment.

Unless your quotation or booking confirmation states otherwise, the final balance is normally due no later than 90 days before departure.

Bookings made after the final-balance date may require payment in full at the time of booking.
If payment is not received by the due date, we may treat the booking as canceled by you after providing reasonable notice and an opportunity to make the overdue payment.



5. Changes Requested by You

If you wish to change a confirmed booking, please contact us in writing.

We will make reasonable efforts to accommodate your request but cannot guarantee that changes will be possible.

You will be responsible for:

  • any additional supplier charges;

  • nonrefundable amounts associated with arrangements being changed or canceled;

  • the cost of replacement arrangements; and

  • any reasonable additional costs we incur in implementing the change.


Changes to traveler names, particularly on airline or transportation reservations, may require cancellation and rebooking and may result in substantial additional charges.

Where suppliers permit it, you may request that your booking or part of your booking be transferred to another traveler. Any transfer is subject to supplier approval, availability and payment of resulting costs.




6. Cancellation by You

You may cancel your booking at any time before departure.

Cancellation must be made in writing by email to info@intotheokavango.us. We strongly recommend that you retain our written acknowledgment of your cancellation.

Unless your quotation clearly states different cancellation conditions for a particular arrangement, the following standard cancellation charges apply:

In addition, supplier-specific Advance Payments or other amounts that were clearly disclosed to you as nonrefundable may be retained to the extent permitted by applicable law and to the extent they are not already accounted for in the cancellation charge.

You will never be charged more than the total price of your booking.

Where we are able to recover or mitigate amounts that would otherwise be lost, we will take those recoveries into account when calculating the amount ultimately retained.

Cancellation terms applicable to particular camps, transportation services or other suppliers may differ from the standard schedule above. Any materially different terms applicable to your booking will be disclosed before you make the relevant payment.

We strongly recommend travel insurance that provides appropriate cancellation coverage.



7. Changes to Your Arrangements

Travel arrangements, particularly safari itineraries in remote areas, occasionally need to change.

Changes may result from weather, wildlife conditions, water levels, transportation schedules, camp operations, supplier decisions, safety considerations or other circumstances.

Where a minor change is necessary, we will make reasonable efforts to provide arrangements of a comparable nature and standard.

If a material element of your confirmed trip becomes unavailable before departure, we will notify you as soon as reasonably possible and, where practical, offer:

  • a suitable alternative;

  • a revised itinerary; or

  • the applicable refund or other remedy required by these Terms and applicable law.


Changes in transportation schedules, aircraft type, departure time, routing or similar operational details do not necessarily constitute a material change where the overall travel arrangement remains substantially as booked.



8. Cancellation by Into the Okavango or a Supplier

Very occasionally, a confirmed travel service may need to be canceled.

If a travel service is canceled through no fault of the traveler, we will work with the applicable supplier to offer a suitable alternative where reasonably possible.

If no suitable alternative is accepted or available, refund rights will be determined in accordance with applicable law and the circumstances of the canceled service.

Right to Prompt Refund

Where transportation or travel services are canceled and the passenger is not at fault and has not canceled contrary to previously disclosed and agreed cancellation terms, money paid to Into the Okavango for services that are not provided will be refunded promptly, unless the passenger instructs us otherwise in writing after cancellation, subject to any exception permitted by applicable California Seller of Travel law.


9. Independent Travel Suppliers

Into the Okavango arranges travel services that are provided by independent accommodation providers, safari camps, transportation companies, guides, activity operators and other travel suppliers.

We do not own, operate or control these independent suppliers.

Each supplier is responsible for providing its services in accordance with its own operating standards, contractual terms and applicable law.

Into the Okavango will exercise reasonable care in selecting and arranging the travel services included in your itinerary.

To the fullest extent permitted by applicable law, we are not responsible for the independent acts or omissions of suppliers that we do not own, operate or control, except to the extent that liability arises from our own acts or omissions or cannot lawfully be excluded or limited.

Nothing in these Terms excludes or limits any responsibility or liability that cannot lawfully be excluded or limited.



10. Supplier Terms

The services included in your itinerary may also be subject to conditions imposed by individual camps, lodges, airlines, charter companies, transfer operators or activity providers.

These may include check-in requirements, baggage restrictions, minimum ages, medical requirements, cancellation conditions, safety rules and behavioral requirements.

Where a supplier's term has a material effect on your booking, we will endeavor to bring it to your attention.



11. Circumstances Beyond Our Control

Travel can be affected by events outside our reasonable control.

These may include severe weather, flood, drought, fire, natural disaster, epidemic or pandemic, civil unrest, war or threat of war, terrorism, government action, border closures, strikes, transportation disruption, infrastructure failure, supplier operational disruption or similar events.

If such circumstances affect your trip, we will use reasonable efforts to assist you and, where appropriate, arrange alternatives.

We are not responsible for losses caused solely by events beyond our reasonable control except where applicable law imposes responsibility or requires a refund or other remedy.



12. Travel Insurance

Suitable comprehensive travel insurance is a condition of booking unless we expressly agree otherwise in writing.

Your insurance should be appropriate for your circumstances and itinerary and should ordinarily include coverage for:

  • trip cancellation and interruption;

  • emergency medical treatment;

  • medical evacuation and repatriation;

  • baggage and personal belongings;

  • travel delays and missed connections; and

  • the safari and adventure activities included in your itinerary.


Certain activities may require specialist insurance.

You are responsible for reviewing your policy conditions, limitations and exclusions and ensuring that all travelers have appropriate coverage from the time the booking is confirmed until they return home.



13. Passports, Visas and Entry Requirements

You are responsible for ensuring that you and every member of your party have all passports, visas, permits, health documentation and other documents necessary for your trip.

Passport validity, visa, transit and entry requirements can change.

You should check the current requirements for every country you will enter or transit, including Botswana, sufficiently in advance of departure and again shortly before travel.

U.S. travelers should consult official government sources, including U.S. Department of State travel and destination information.

If you are unable to travel because you do not have the required documentation or do not satisfy applicable entry requirements, this will normally be treated as a cancellation by you and the applicable cancellation terms will apply.



14. Traveling With Children

Travelers accompanying children are responsible for ensuring that they hold any parental consent, birth certificates, custody documentation or other documents required by the countries being visited or transited.

Requirements vary by destination and family circumstances.



15. Health, Vaccinations and Medical Conditions

It is your responsibility to obtain appropriate medical advice regarding your trip.

You should consult your doctor, travel-health professional and current official health guidance sufficiently in advance of travel regarding vaccinations, malaria prevention, medications and other health precautions.

If you or another traveler has a medical condition, disability, reduced mobility or other circumstance that may affect participation in the proposed itinerary, please tell us before booking.

This enables us to discuss the suitability of the proposed arrangements with the relevant suppliers.

We may request additional information where reasonably necessary to determine whether an itinerary or activity is suitable.



16. Accessibility and Reduced Mobility

Many Botswana safari properties are in remote wilderness areas and may have limited accessibility.

We will make reasonable efforts to help identify suitable travel arrangements where you tell us of accessibility or mobility requirements before booking.

Because facilities and assistance are generally provided by independent suppliers, we cannot guarantee that every requested accommodation can be provided.



17. Dietary Requirements and Allergies

Please advise us in writing of significant dietary requirements and food or other allergies before booking.

We will pass relevant information to applicable suppliers.

Although suppliers will generally make reasonable efforts to accommodate dietary requirements, food preparation standards, allergy awareness and facilities vary between locations.

You remain responsible for taking appropriate precautions, communicating significant allergies directly to service providers when appropriate and carrying any medication required for your condition.



18. Wildlife & Safari Areas

Travel in Botswana frequently involves spending time in unfenced wilderness areas where wild and potentially dangerous animals are present.

Safari activities, including game drives, walking safaris, mokoro excursions, boating and other wilderness activities, involve inherent risks that cannot be completely eliminated.

You must follow the instructions of guides, camp staff and local authorities at all times.

Never approach, feed or interfere with wildlife and always give animals appropriate space.

By participating in safari and wilderness activities, you acknowledge the inherent risks associated with these environments and agree to exercise reasonable care for your own safety and the safety of those traveling with you.

Nothing in this section excludes or limits liability where it would be unlawful to do so.
Please respect the wildlife, give animals space and remember — you are in their environment.



19. Activities and Excursions

Activities specifically listed as included in your confirmed itinerary form part of the travel arrangements we have agreed to arrange for you.

Optional excursions or activities that you purchase directly from a local operator during your trip and that are not included in your confirmed booking are separate arrangements between you and that operator.

Safari and adventure activities may carry inherent risks. These may include, among others, walking safaris, mokoro trips, boating, kayaking, horse riding, scenic flights and other wilderness activities.

You must:

  • provide operators with relevant health and experience information;

  • follow all safety instructions;

  • use safety equipment provided or required; and

  • make a reasonable personal assessment of your ability to participate.



20. Flights and Transportation

Transportation services are operated by independent carriers.

Schedules, routes, aircraft, vehicles and departure times may change for operational, weather or safety reasons.

Small aircraft used for safari transfers may have strict baggage weight, size and type restrictions. Any applicable restrictions will be provided in your itinerary or travel information.

You are responsible for complying with these restrictions. Additional baggage arrangements, where available, may result in additional cost.

The name on any airline or transportation reservation must match the traveler's passport or required identification.

Unless expressly identified as included in your itinerary, international flights to and from the safari destination are not included in your booking with Into the Okavango.



21. Delays, Missed Connections and Unused Services

Please allow sufficient time for connections and comply with check-in and reconfirmation instructions provided by carriers and suppliers.

If you miss a service because of your own late arrival, failure to reconfirm, incorrect documentation or other circumstance within your control, any resulting cost will normally be your responsibility.

No refund is ordinarily available for accommodation, activities, transfers or other services that you voluntarily choose not to use after travel has commenced, except where required by applicable law or agreed by the supplier.



22. Special Requests

Please make important special requests in writing before booking.

We will endeavor to pass reasonable requests to the relevant supplier but cannot guarantee that a request will be fulfilled unless we expressly confirm otherwise in writing.

The fact that a request appears on a booking record does not by itself mean that the supplier has guaranteed it.



23. Conduct and Safety

You are responsible for your conduct and for complying with reasonable safety instructions issued by Into the Okavango, guides, camp staff, carriers and other suppliers.

If a traveler's behavior presents a significant risk to themselves, other travelers, staff, wildlife or property, a supplier or Into the Okavango may require that person to stop participating in an activity or leave an arrangement where reasonably necessary for safety.

Any additional costs arising from serious misconduct will normally be the traveler's responsibility, subject to applicable law.



24. Accuracy of Information

We take reasonable care to ensure that information supplied in quotations, itineraries and on our website is accurate when provided.

Safari camps, room layouts, activities, transportation schedules and other supplier arrangements can change.
Photographs are illustrative and may not depict the exact room, vehicle, aircraft, guide, wildlife sighting or other element that will apply to your trip.

Wildlife is free roaming, and no particular species, sighting or wildlife experience can be guaranteed.



25. Complaints and Assistance During Your Trip

If a problem arises while you are traveling, please raise it promptly with the applicable camp, guide or supplier and contact Into the Okavango as soon as reasonably possible.

Giving us an opportunity to address a problem while you are traveling will often allow it to be resolved more effectively.

We will provide you with emergency contact details before departure.

If an issue has not been resolved during your trip, please send us details in writing after your return so that we can investigate with the relevant supplier.



26. Personal Information

We use personal information to plan, arrange and administer your booking.

This may require us to provide relevant information to accommodations, transportation providers, guides and other suppliers, including suppliers outside the United States.

If you voluntarily provide information concerning medical conditions, accessibility requirements, allergies or dietary needs, you authorize us to share that information with relevant suppliers to the extent reasonably necessary to assist with your travel arrangements.

Our handling of personal information is also governed by our Privacy Policy.



27. California Seller of Travel Registration

Into The Okavango is registered with the California Attorney General's Seller of Travel Program.

Registration as a seller of travel does not constitute approval by the State of California.



28. Protection of Customer Funds

California law requires certain sellers of travel to have a trust account or bond. This business has a bond issued by Westfield National Insurance Company in the amount of $100,000.

Seller of Travel Surety Bond No.: 552514Y

The bond is maintained in connection with applicable California Seller of Travel requirements.

The bond is not a substitute for personal travel insurance.



29. California Travel Consumer Restitution Fund

Into the Okavango participates in the California Travel Consumer Restitution Fund.

TCRC Participant ID: 710495

Your booking documentation will identify which of the following provisions applies to your transaction.

Passenger Located in California at the Time of PaymentA transaction may be covered by the California Travel Consumer Restitution Fund when Into the Okavango is registered and participating in the Fund at the time of sale and the passenger is located in California when payment is made.

An eligible passenger may make a TCRF claim where more than $50 is owed as a refund for transportation or travel services and qualifying funds were not forwarded to the appropriate provider or were not refunded when required.

The maximum TCRF payment for one passenger is the amount paid on behalf of that passenger to the seller of travel, up to $15,000.

A claim generally must be submitted within 12 months after the scheduled completion date of travel, with supporting documentation and the required $35 processing fee.

A person filing a TCRF claim is required to waive other civil remedies against the registered participating seller of travel for matters arising from the sale that is the subject of that TCRF claim.

Claim information and forms are available from the Travel Consumer Restitution Corporation, 468 Manzanita Avenue, Suite 1, Chico, California 95926, and through the TCRC website.


Passenger Located Outside California at the Time of Payment

This transaction is not covered by the California Travel Consumer Restitution Fund.

Where required, this disclosure will also be provided orally before or when payment is accepted.



30. Order of Documents

Your booking may include:

  • these Booking Terms & Conditions;

  • your quotation and itinerary;

  • your booking confirmation or invoice;

  • specific supplier conditions disclosed to you; and

  • other written information expressly incorporated into your booking.


If a booking-specific term in your confirmed itinerary clearly conflicts with these general Terms, the booking-specific term will apply to that particular arrangement, except where applicable law requires otherwise.

Mandatory legal rights always take precedence over contractual terms.



31. Governing Law

Except where applicable law requires otherwise, these Terms and your booking relationship with Into the Okavango are governed by the laws of the State of California.

Nothing in these Terms is intended to deprive a traveler of any non-waivable consumer protection available under applicable law.

Where legally permitted, disputes relating to these Terms or your booking may be brought in the appropriate state or federal courts serving Santa Clara County, California.



32. Severability

If any provision of these Terms is found to be unlawful or unenforceable, that provision will be interpreted or limited to the extent necessary to make it enforceable where possible.

The remaining provisions will continue in effect.



33. Changes to These Terms

The Terms that apply to your booking are the version provided or made available to you when your booking is confirmed.

We may update these Terms for future bookings, but a later version will not retroactively alter an existing confirmed booking unless required by law or agreed with you.



34. Entire Agreement

These Terms, together with your confirmed itinerary, booking confirmation and any other documents expressly incorporated into your booking, constitute the agreement between you and Into the Okavango concerning the travel services we have agreed to arrange.

No verbal statement or informal communication changes that agreement unless confirmed by us in writing.
